Terms and Conditions for the Purchase of the Secluded Tuscan Art Retreat

Please read these terms and conditions carefully and review our cancellation policy before making a reservation.

These terms and conditions are a contract between you (the individual making the reservation) and Caroline Tatham Art.

The Secluded Tuscan Art Retreat is provided under the brand name “Caroline Tatham Art”, Gossington Hall, Gossington, Gloucestershire, GL2 7DN.

1. Making a Reservation

1.1. The person making the reservation must be at least 18 years old and by paying the deposit accepts these terms and conditions, including our cancellation policy. You are also responsible for the accuracy of your personal details.

1.2. Payment of the £250 non-refundable deposit is required at the time of making the reservation. This payment can be completed via the website using a payment card or PayPal. 

1.3. Once we have received the deposit payment we will email you a confirmation of your reservation with practical details. If you do not receive an email - please allow up to 5 working days for funds to clear – then contact us by email or telephone.

1.4. You agree to making a further balance payment of £500 by 18th July 2025 at the latest. This payment can be made via bank transfer using the account details in the booking confirmation email. 

1.5. All amounts are payable in Pounds Sterling. The prices quoted are inclusive of VAT. Any currency conversion costs or other charges incurred in making a payment shall be borne by you, and shall not be deductible from the amounts due to Caroline Tatham Art.

 

2. Cancellation policy

2.1. Non-refundable booking:
Kindly be aware that all bookings are non-refundable. Once payment has been made, it is regarded as final.

2.2. Retreat cancellation:
If the retreat is cancelled by us due to force majeure events or circumstances out of our control, we will let you know as soon as possible and refund the total cost of the retreat, including the non-refundable deposit.

2.3. Cancellation insurance:
Participants are required to purchase their own travel, medical, and cancellation insurance for protection against any circumstances that might require cancellation or change of travel arrangements. This insurance should cover any potential losses incurred due to cancellation or no-show, including but not limited to medical emergencies, travel disruptions, or personal circumstances. We are not affiliated with any travel insurance providers. It is your responsibility to secure appropriate insurance coverage that includes trip cancellation and interruption protection. We highly recommend reviewing the terms and conditions of your chosen insurance provider to understand the coverage and claim process.

2.4. Documentation assistance:
Where possible we will provide the essential documentation to support refund claims with the insurance provider.

2.5. Booking modifications:
While we understand that unexpected situations may arise, please note that our non-refundable policy extends to any modifications or changes made to your booking, such as your choice of bedroom / bed. Once the reservation is confirmed and payment is made, no refunds or credits will be issued for any adjustments. 

2.6. Transferability:
In certain cases, we may allow clients to transfer their bookings to suitable replacements of their choice. However, please note that this transfer is subject to approval. To maintain the quality of the art retreat experience for all participants and contribute to meaningful interactions during the retreat, we kindly request that any potential replacements share artistic interests and possess familiarity with the instructor's work and artistic style. If you find a replacement whom you believe would be a suitable fit, please reach out to us with their details for evaluation. Our team will review the information provided and make a decision accordingly. Please keep in mind that the final approval of any transfer remains at our discretion, as we strive to create a cohesive and enriching environment for all participants.

2.7. We highly recommend thoroughly reviewing the details of our cancellation policy and purchasing appropriate cancellation insurance to protect your investment. By proceeding with the booking, you acknowledge and accept our non-refundable cancellation policy.

 

3. Our commitment

3.1. A description of the Art Retreat is available on our Website, including what is and is not included. We will provide the various activities with reasonable care and skill in accordance with the description set out on the Website.

3.2. Caroline Tatham Art has a commitment to help you get the most from your experience at the art retreat.

3.3. We are happy to help you with any booking related queries.

3.4. Caroline Tatham Art operates an equal opportunities policy.

3.5. Participants are responsible for booking their own flights / transport to and from Pisa International Airport.

3.6. Transport between Pisa International Airport and the Monasterino Della Conoscenza - where the retreat takes place - is included in the booking fee. Set collection times apply and participants need to ensure they arrive on time at the agreed meeting point. If a participant misses the group transport, they will need to make their own way to the Monasterino Della Conoscenza. We are not able to arrange any additional transport. 

3.7. All drawing equipment and art materials used for any exercises or projects instructed is included in the booking fee. 

3.8. All meals are included. Participants will inform Caroline Tatham Art in a timely manner about any dietary requirements. 

3.9. Accommodation in the Monasterino Della Conoscenza is included. Participants will select a room and bed option at the time of making the reservation. 

3.10. Participants agree to take part in a half-day local community activity organised by the Monasterino Della Conoscenza. This is usually an activity with an association that could be Le Mura (that takes care of green areas in Siena), Urban Garden il Boschetto, the American Monument Cemetery, Le Bollicine (that creates integration programs for disabled people) and many others, and can take the form of volunteering at the local soup kitchen, helping in clothing and grocery distribution, cleaning up a neighbourhood park, or helping with the planting of new plants with the local urban garden non-profit. We will provide more details about the actual activity about one month before the retreat. Participants will notify Caroline Tatham Art of any physical limitations that may prevent them from taking part in the community activity so that an alternative option can be provided. 

 

4. Data protection

4.1. The nature of the Services provided by us means that we will obtain, use and disclose (together "Use") certain information about you ("Data"). This statement sets out the principles governing our Use of Data. By booking the art retreat you agree to this Use.

4.2. When you register with us you will need to provide certain Data such as your name, contact details, address, dietary requirements, certain medical details etc. We will store this Data and use it to contact you, provide you with details of the art retreat and otherwise as required during the retreat.

4.3. We may also use the above Data, to aggregate user profiles. We will not pass any personal data onto anyone outside of Caroline Tatham Art with the exception of the information required by the team at the Monasterino Della Conoscenza. 

4.4. The Monasterino Della Conoscenza requires each participant to sign a waver of liability and to fill out a registration form. We will provide you with these documents a few months before the retreat. By making a reservation you agree to fill out, sign and return those documents and give us permission to forward them to the team at the Monasterino Della Conoscenza. 

4.5. The Monasterino Della Conoscenza also requires us to send a copy of each participant's passport in advance of the retreat. By making a reservation you give us permission to do so. 

4.6. We endeavour to take all reasonable steps to protect your personal Data including the use of encryption technology, but cannot guarantee the security of any Data you disclose. You accept the inherent security implications of being and transacting on-line over the internet and will not hold us responsible for any breach of security.

5. Disclaimer and liability

5.1. The art retreat is for leisure purposes only. 

5.2. All activities provided by Caroline Tatham Art during the retreat are conducted in English. We expect participants to be sufficiently proficient in English in order to attend the activities and cannot provide any language support nor do we accept any liability for any losses, costs or expenses incurred by or on behalf of a candidate in connection with a candidate’s insufficient language ability.

5.3. We shall not be liable for any loss or damage of personal property whilst you attend the art retreat.

5.4. Although Caroline Tatham Art aims to provide the art retreat to the highest standards of the industry, neither it, nor its trainers accept any liability for (i) any inaccuracy or misleading information provided in the programmes or Course Materials and any reliance by Client on any such information, (ii) any loss or corruption of data, (iii) any loss of profit, revenue or goodwill, or (iv) any indirect, special or consequential loss arising from any breach of the terms of this Agreement.

5.5. Caroline Tatham Art shall not be liable to you for any breach of its obligations or termination under these terms and conditions arising from causes beyond its reasonable control, including, but not limited to, fires, floods, earthquakes, volcanoes and other Acts of God, terrorism, strikes, delay caused by transport disputes, failure to provide a course caused by a death in the trainer’s family, illness of the trainer, Government edict or regulation, covid and pandemic reasons.

5.6. Participants are required to purchase their own travel and medical insurance for protection against any circumstances that might require a change of travel arrangements, including but not limited to medical emergencies, travel disruptions, or personal circumstances.

5.7. Due to privacy reasons we are not able to publish any actual photos of the Monasterino Della Conoscenza or its grounds. By making a reservation participants acknowledge they have been informed that all photos on the website and in our correspondence are representative stock photos.

 

6. Code of Conduct

By making a reservation participants agree to adhere to the following code of conduct during their stay at the Monasterino Della Conoscenza:

6.1. Classes start from 9:00 a.m. and may continue up to 17:00 p.m. 

6.2. The kitchen service shall be as follows:

  1. Breakfast: 08:00 > 09:00
  2. Lunch: 13:00 > 14:00
  3. Dinner: 19:00 > 20:00 

6.3. Participants must adhere to a normal dress code respectful of the place where they are. 

6.4. Use of mobile phones in the classroom is strictly prohibited. 

6.5. Every participant must carry his / her Identity Card or Passport upon entering the Monasterino Della Conoscenza property, and identify themself with help of the Identity Card whenever asked for.

6.6. No guests / visitors allowed. Only participants will be allowed to enter the Monasterino. 

6.7. Eatables / beverages are not allowed inside the study areas including classrooms, workshops and so on.

6.8. While studying at the Monasterino Della Conoscenza, participants agree to operate any equipment, machinery and tools carefully and to observe all safety regulations and see that no damage is caused to self, others or to the Monasterino's property, machinery, and equipment. In case it is found that they have caused any damage to the Monasterino's property, the participant shall be required to reimburse or repair the damage caused. Any decision regarding the extent of their liability on such account shall be at the discretion of the Monasterino Della Conoscenza, which shall be final. If the general code of conduct is violated the Monasterino will treat this as an act of indiscipline, and the participant will be repatriated at their own expenses. In case of medical emergency in the classrooms, the participant must inform the staff of the Monasterino without any hesitation.

6.9. While staying at the Monasterino Della Conoscenza, all participants agree to use electricity, water and heating/cooling systems with care and awareness, avoiding unnecessary waste at all times. 

6.10. Opening hours of the Swimming Pool: 09:00 > 19:00 

6.11. The consumption of alcohol, drugs and smoking or vaping is strictly forbidden anywhere on the Monasterino's property, indoors as well as outdoors. 

6.12. Participants agree not to take any photos and/or record video footage of the Monasterino Della Conoscenza and its grounds. 

6.13. The following activities are deemed an act of indiscipline by the Monasterino Della Consocenza: 

  • Disruption of, or improper interference with the academic, administrative, sporting, social or other activities of the Monasterino, whether on Monasterino premises or elsewhere.
  • Using abusive language and creating nuisance in the premises of the Monasterino, disturbing the peace and independent rights of third subjects, not to respect Silence after 23:00.
  • Violent, indecent, disorderly, threatening, or offensive behaviour or language and action likely to cause injury or impair safety on the premises.
  • Fraud, deceit, deception, dishonesty, or theft in relation to the Monasterino Foundation or its staff.
  • Action likely to cause sexual or racial harassment of any student, member of staff or other employee of the Monasterino or any authorized visitor of the Monasterino.
  • Damage to, or defacement of, Monasterino property caused intentionally or recklessly, or misappropriation of such property which includes, damaging, resources and furniture like cupboards / lockers / file cabinets / walls /doors/ windows/ white board / tables / equipment / chairs etc. by way of writing names / painting / scribblings etc.
  • Misuse or unauthorized use of the Monasterino premises or items of property, including computer misuse.
  • Consuming drugs, alcohol, or any other activity in the Monasterino which is construed as a societal offence at large.
  • The entire property of the Monasterino is tobacco free in any form, cigarettes, vaping, etc. All the guests (students, chaperones, teachers, etc.) and any other subject must absolutely respect the smoking ban (indoor and outdoor of the property). Any infringement will be persecuted according to the Italian Law no. 3/2003 as amended.

 

7. Complaints

For any issues that arise during the retreat, please speak to Topsy - acting coordinator - who will endeavour to assist you with all practical and logistical matters. 

Should you feel unhappy with the provision after the retreat has finished, then please contact us immediately at [email protected] and we will endeavour to respond as quickly as possible but no more than 30 days following the receipt of your complaint.

 

These terms and conditions and any dispute or claim arising out of and in connection with them or their subject matter (including no contractual disputes or claims) shall be governed by and shall be construed in accordance with English Law and the Courts of England and Wales shall have exclusive jurisdiction over any claim arising out of it.

No failure or delay by Caroline Tatham Art in enforcing any of its rights under the Contract shall be deemed to be a waiver of such right.

Nicolosa - bottom bunk bed

Room Nicolosa is the only bedroom within apartment 'Sansedoni'. This room has 3 bunk beds, sleeping up to 6 people. 

In the room there are sheets, towels and a private bathroom with hairdryer, hair & body soap and toilet paper. 

The apartment has a kitchenette with coffee machine, electric kettle, microwave oven, dishwasher, drying rack and soap to handwash clothes. 

Free wi-fi service is available indoor and outdoor.
